Secure chat launches for all Haiku users

Clinical leaders are developing a system wide clinical communication plan that will transition our current Cisco, Netlink and Spectralink phones to smart phones over the next several years. In the interim, Haiku, an Epic app, is available for download to all patient-facing hospital employees. The new policy became effective March 20.

Secure chat in Haiku enables users send secure instant messages in Epic’s mobile apps that can communicate with colleagues across the care team. Haiku, an Epic solution, allows for easy identification of the care team caring for the patient. The use of Haiku on personal devices is voluntary and while in use, you can place your device on the BH Guest network to prevent using your personal data plan.

Secure chat is the only form of PHI texting allowed at Beaumont. Any type of texting that incorporates PHI must be done through Haiku. Texting on native mobile apps such as iMessage violates Beaumont Health policy. If you choose not to use Haiku for secure texting, you must use traditional forms such as paging and calling with the provider and care team members. Should the care team member that you are texting not respond in timely and appropriate timeframe, please follow the current chain of command on your unit on escalating the patient care needs.

Key points to know:

  • Haiku is free to download from the app store on both Android and Apple devices. How to setup Haiku on your device
  • To log in, use your Epic username and password. 
  • Review the training material on how to use secure chat for Haiku and Canto Trifold..
  • Beaumont Health has a corporate secure chat policy that has been created with input from providers, nursing, administration and compliance. It is your responsibility to review the policy and to be familiar with the details. 
  • No ordering of medications or tests can be done through Haiku per the CMS standards. 
  • All urgent and stat care should occur through traditional communication methods.
  • Retention of secure chat messages will only be available for 3 days.
  • Use of secure chat does not replace medical record documentation in oneChart nor does it replace documentation of physician notification in the record.
  • For secure chat to work effectively, oneChart must be updated to accurately reflect the care team members caring for the patient. It will be critical to assign or unassign yourself to your patients when starting and ending your shift. 
  • Personal devices require low level disinfecting (LLD) when using in the clinical environment. It is your responsibility to know what products can be used and to use them to disinfect your device.

It is vital to share with your patients how you are using smartphones in the clinical environment to interact with other care team members using state-of-the-art technology to expedite and improve their care.
